Roles and Responsibilities
Security services play a vital role in maintaining safety and order within an apartment complex. Here are the key roles and responsibilities of security personnel in an apartment setting:
Access Control
- Monitor Entrances and Exits: Control who enters and exits the apartment complex to ensure that only authorized individuals gain access.
- Visitor Management: Register visitors, issue visitor passes, and ensure visitors are accompanied by a resident or staff member.
- Package Handling: Oversee the receipt and delivery of packages to ensure they are collected by the correct individuals.
Surveillance and Monitoring
- CCTV Monitoring: Monitor security cameras for any unusual or suspicious activities and ensure they are operational.
- Patrols: Conduct regular patrols of the premises, including parking lots, hallways, stairwells, and common areas, to deter and detect any security breaches.
- Alarm Systems: Respond to alarms and investigate the cause of alarm triggers.
Incident Response
- Emergency Response: Act as first responders in case of emergencies such as fire, medical emergencies, or security breaches. Contact emergency services as needed.
- Incident Reporting: Document and report all incidents, accidents, or security breaches to the property management or relevant authorities.
- Conflict Resolution: Intervene in disputes or conflicts among residents or between residents and staff to defuse tensions and restore order.
Safety and Compliance
- Safety Checks: Conduct regular safety inspections to identify and mitigate potential hazards, such as faulty lighting, fire hazards, or unsecured areas.
- Evacuation Procedures: Assist in developing and implementing evacuation procedures and conduct drills to ensure residents are familiar with emergency protocols.
- Policy Enforcement: Enforce apartment complex rules and regulations, including noise control, parking regulations, and other community guidelines.
Communication and Coordination
- Resident Interaction: Maintain a friendly and approachable demeanor with residents while enforcing security protocols.
- Coordination with Management: Regularly communicate with property management to provide updates on security status, report incidents, and suggest improvements to security measures.
- Training and Development: Participate in ongoing training to stay updated on the latest security techniques and technologies.

10. TERMINATION OF CONTRACT:
Either party shall have the right to terminate this agreement by providing 30 days’ notice in writing to the other party. However the CLIENT can terminate the agreement instantaneously on repeated occurrence of security lapses reported on the part of the AGENCY.
STANDARD OPERATING PROCEDURE:
The AGENCY shall provide the Security services as outlined
WORKING HOURS:
a. The daily working tenure of our guarding personnel shall be of Twelve hours duration. However in certain specific operational areas owing to various inherent factors viz, remoteness scarce availability of trained manpower the existing Manpower/our guarding personnel shall continue their duties for additional hours shift basis, with the permission of the CLIENT, till an alternate is sent on the same day.
b. The working hours of the guarding personnel shall be twelve hours from 8 A.M to 8 P.M and from 8 P.M to 8 A.M.
UNIFORM/OBLIGATIONS
b. Stationery and Additional equipments if any will be provided by the CLIENT.
c. As a regular training program, Fire fighting, First Aid, Lift Rescue and March past will be conducted once or twice in a month.
d. Our Guarding personnel shall be at vigil round the clock and prevent entry ofunauthorized vehicle/ persons into the guarding area. Any such incidents shall be stopped and handed over to the CLIENT.
e. The AGENCY shall be responsible for the discipline of its employees. Security personnel engaged by the AGENCY will be in the employment of the AGENCY only and not of the CLIENT. The AGENCY shall solely be responsible for the acts of commission or omission of its employees.
AIM OF THE SECURITY SYSTEM
2. To Provide Residents and Visitors a hassle free experience in entering and leaving The Heritage
3. To protect the residents from threats as the presence of security itself should deter any individual from doing any mischief/crime.
4. To evolve a system which would give lapse less competent security shield which would convey that it will not be easy to get away after committing a crime in The Heritage

OUTLINE OF WORK AND GENERAL RESPONSIBILITIES
Dos & Don’ts
1. No smoking in premises.
2.Should not be under the influence of alcohol while reporting or on duty
3.No spitting, littering or dirtying the campus in any way.
4.No sleeping on duty.
5.No talking / using of mobile phone unnecessarily.
6.Be firm but polite when speaking to visitors/residents.
7.Be familiar with the layout & terms.
Common Duties of all Security Personnel
2) Any unwanted materials or movements in the common area should immediately be reported to ASO for action.
3) Inform ASO of non-cooperative Residents/ Drivers / Maids / Delivery partners / Vendors / Visitors.
4) Should not allow any kid to cross the front barricade / Main gate or back gate if not accompanied by an adult.
5) Prevent loss, damage, or misuse of property in the concerned work area or where ever if it comes to your knowledge.
6) To report any unusual incidents or hazardous conditions in the concerned work area or noticed anywhere in the premises to the ASO.
Duties & Responsibilities of ASO
2. While his desk is at main gate, he needs to go for rounds for inspection around the building premises once in 1 hour and surprise visits in adhoc manner.
3. He will report to Facility Manager.
4. He will interact with Residents, Vendors, Visitors, and Housemaids, Drivers etc.
5. He will be responsible for the entire security operation in the premises.
6. He will be conducting surprise checks during Day & night of the guard’s behavior.
7. He will be conducting surprise checks while on site rounds.
8. He will oversee/maintain the documentations (materials movements, vehicle movements….etc) maintained at the Main gate in Mygate app/ Register.
9. Frequently highlighting the importance of the duties and procedures to the guards.
10. Checking the guards with neat proper uniforms and are fully fit for the duty.
11. He will be making Visitor, Vendor and Guest entries in mygate App, then he will verify with the Resident through mygate app, intercom, or their Mobile phone, and only after their approval, the above people will be allowed OR denied.
12. Mygate capturing to be done by him and by one another guard.
13. Ensure all in and out entries are made in mygate ontime without delay or missing of any entries.
14. Records Management Ownership.
15. Time Office Controller – Maintains &keeps the record of the swimming pool cleaner & Gardner’s attendance Register at the Main Gate.
Duties and Responsibilities of Guards
2. Guards will keep an eye about the movements of new persons and check and if any doubtful arises, inform to ASO to take forward.
3. Apart, the guards will be patrolling in their allotted area..
4. Guard’s position at the entry and exit gate will coordinate for the vehicles IN & OUT.
5. Cross point guard will coordinate the vehicles coming down and enquire accordingly and he will direct.
6. Without sticker vehicles coming inside the premises will be stopped at the main IN gate. They will be checked and ascertain the genuinely. And only after that it will be allowed inside.
7. All the guests coming to this premises, will be checked by way of intercom / mobile phone OR pre information through mygate app.
8. In case of any queries arising with outsiders, will be rooted through ASO and FM.
9. Guards shall advice to new Residents / Owners to park their vehicles in allotted Parking slot.
10. When lift alarm rings the security nearby that lift will alert the FM office / present Technician & ASO.
11. If any stray dog is noticed by the guards in premises, they should drive the stray dog to outside the premises.
12. Any unusual thing noticed by the guard, they should inform to FM OR ASO.
